Information you provide
The contact form collects your name, email address, subject, message and acknowledgment of this policy. Messages are saved as private records in this website’s WordPress database and are available to authorized administrators. We use them to review and respond to inquiries, corrections and proposals. Please do not submit sensitive personal information.
Contact messages are not published. Email notifications are disabled at launch. If notifications are enabled after mailbox testing, they will alert the editor that an inquiry exists; the notification does not include your message text.
Technical records and spam prevention
InterServer hosts the website and its database. Hosting access and security logs may record IP addresses, requested URLs, user agents and timestamps. WordPress and the login security plugin process technical information to operate and protect the site.
The contact form uses a security nonce, an empty-field spam check and a short-lived rate-limit key derived from a salted hash of the connection IP address. The rate-limit record expires after ten minutes; the contact handler does not store a raw IP address with your message.
Cookies and external content
WordPress uses necessary cookies for administrator login and related dashboard functions. The public launch does not include analytics tags, advertising trackers, newsletter signup processing, payment processing or public user registration. Public comments are disabled. The site does not load external fonts or automatically embed third-party media at launch.
Links to organizers, registration systems and other external sites have their own privacy practices. Following a link takes you to that provider. Future embedded video, analytics, advertising or subscription tools will require an updated policy and any applicable consent controls before activation.
Retention and access
The editor is instructed to review the private inbox and delete resolved inquiries after 90 days unless ongoing correspondence or a legal obligation requires longer retention. This is a manual process. Hosting logs and recoverable backups follow the hosting account’s retention settings; their exact periods are not yet confirmed. Backup copies may retain deleted records until the relevant backup is replaced or expires.
We do not sell contact-form information or use it for a mailing list. Access is limited to people and service providers authorized to administer or support the publication, subject to necessary operational access.
Your requests
You may request access, correction or deletion of information you have submitted using the contact form and selecting Privacy request. We may need to verify the request before disclosing or changing information. Some records may need to be retained for security, ongoing correspondence or legal obligations.
Changes
We will revise this policy when the site’s collection or use of information changes. The effective date above identifies the current version.
